Continuity & multi-date bookings

Continuity and multi-date bookings for supporting artists

Continuity jobs fall apart when an artist accepts Day 1, declines Day 2, and leaves your bookers chasing replacements across a spreadsheet. RosterDeck lets you mark required continuity dates and optional extra days on a single job, locks the required run into one toggle on the artist’s availability reply, and tracks each shoot date through its own call sheet, timesheet, and digital chit.

On the cast page

The whole run on one artist card

Each artist card shows how many dates of the job they are cast or booked on. Open it to see every date on its own.

  • Booked 3/4 at a glance

See who is committed to the whole run and who is not.

  • One date at a time

Inspect or adjust a single date without touching the rest.

  • Never the reason

Each date shows Available or Unavailable, never anything personal.

Plain-English date rules

Required continuity dates and optional days on one job

A multi-day shoot rarely treats every day the same. Core continuity dates need the exact same faces in costume across the scene, while pickup or crowd days are flexible extras on the same production.

Mandatory (M)

Required continuity dates

Every day of the continuity block counts together

Tick Mandatory work date on every day an artist must commit to as a block, such as a Tuesday wardrobe fitting followed by Thursday and Friday filming on the same scene. On the availability form, all required dates sit under a single master toggle so no artist can accept Day 1 while declining Day 2.

  • Badged [M] beside the date on the Email page
  • Grouped under Required Dates on the artist’s reply form
  • Covered by one master toggle: "I am available for ALL required dates"
Optional (O)

Optional extra dates

Additional pickup or crowd days on the same job

Leave Mandatory work date unchecked for extra crowd days, weather cover, or pickup dates attached to the same production. When a job mixes required and optional dates, the optional dates stay locked on the artist’s reply until the required block is switched on, then unlock as separate toggles.

  • Badged [O] on the Email page so bookers see which days are flexible
  • Locked until the artist confirms they can do every required date
  • Automatically cleared if the artist switches the required block back off

How the artist reply form enforces the rule

One toggle for all required dates, individual toggles for optional dates once unlocked

On the response page, optional dates stay locked until the artist switches on the required continuity toggle. Switching the required block off clears any optional dates automatically, so an artist never submits an optional day without the required run.

How a continuity job runs from first brief to final chit

Follow a four-date booking with a wardrobe fitting, two required continuity shoot days, and an optional pickup day through the exact screens your bookers, artists, and production contacts use.

  1. 01/agent/job · AI assistant

Set up required and optional dates on one job

Add every fitting, rehearsal, day shoot, night shoot, travel day, or recall to a single job instead of splitting continuity blocks across separate bookings. Each date has its own Mandatory work date checkbox, type (day, fitting, shift or night), overtime rule (SWD 9h, CWD 7h, Shift 4h, 10 hours or No OT), description, Public Holiday flag, and optional custom image request.

Prefer to type or speak the brief? Ask the AI assistant to create the job or add mandatory and optional dates in plain English.
  2. 02/agent/cast · Talent discovery

Shortlist and cast across the whole run or specific days

Add artists to every shoot date at once or open the Date Selection Popover to pick specific dates. Each artist card shows how many dates of the job they are cast or booked on (for example Booked 3/4). Expanding a booked artist lets you inspect or adjust individual dates without disturbing the rest of the block.

Need a specific look or skill for a multi-day continuity role? Search opted-in artists across agencies with Talent Discovery.
  3. 03/agent/email · Multi-date send

Send one availability check covering every date rule

Tick all four dates on the Email page, where each date is badged [M] for Mandatory or [O] for Optional, and send one Availability Check. The email lists every date in order with its type and description, and the artist answers on a single reply page covering the whole run. Send the dates together: the reply page groups only the dates in that one email.

Need to chase non-responders? Optional SMS reminders nudge artists to check their email or dashboard, while all date selection happens on the web form.
  4. 04/respond/[token] · Artist account

The artist’s reply locks the continuity block together

Every artist on RosterDeck has an account and can also open their tokenized email link directly. On the response form, all required dates sit inside one card with a single master toggle: "I am available for ALL required dates". Optional dates sit in a second card below that stays locked until the required toggle is on. Once unlocked, each optional date has its own toggle, and switching the required toggle off resets any optional selections.

When available, the artist selects their travel preference once (including a saved vehicle registration if driving) and it syncs across their selected dates. Agents see Available or Unavailable on each date cell, never a personal reason.
  5. 05/approve/[token] · Booking confirmations

Approve with production and confirm each artist’s bookable dates

Send production a secure, no-login cast approval link covering one date or the whole run, complete with per-date status badges and a date filter. When you send Booking Confirmation across multiple dates on /agent/email, RosterDeck automatically scopes each artist’s confirmation email and token to the dates they are bookable on: an artist available for all four dates confirms all four, while an artist available for the three mandatory dates and unavailable on the optional fourth is confirmed on the three mandatory dates only.

Production teams review headshots, measurements, and wardrobe notes in their browser without creating a login.
  6. 06Per-date stepper · Timesheets · Chits

Track, sign off, and price every shoot date on its own

Once booked, each date runs through its own eight-step workflow stepper, its own call times and call sheet, its own production timesheet at wrap, and its own PACT / FAA, BECTU, or custom rate-card chit. Booking credits apply per booked artist-date. If production stands an artist down on a single day of the run, a Cast Release email from /agent/email releases that date alone and works out any late cancellation fee (such as 50% or 100% of their rate) for that date, without touching their remaining dates. The booking credit for that date is refunded unless the call sheet had gone out or a fee was raised.

Every completed date produces its own itemised artist chit and flows straight through to Xero or QuickBooks.

Why agencies and productions run continuity blocks in RosterDeck

No partial continuity replies

Because all required dates share one toggle on the artist’s availability form, nobody can accidentally say yes to Thursday and no to Friday on a two-day continuity scene.

Bookers stay in control

The availability form enforces the rule on the artist’s reply, while the agency workspace keeps per-date casting and booking flexible whenever production changes a character’s schedule.

Smart multi-date confirmations

Tick the whole run on the Email page and send once. RosterDeck filters each artist’s confirmation link to the dates they are actually available and cast on.

Eight tracked steps per date

A fitting on Tuesday, shoot days on Thursday and Friday, and pickups on Monday each carry their own eight-step workflow stepper so you can see where every day stands.

Separate chits and holiday tiers

Each work date calculates its own hours, overtime, meal penalties, fitting fee, or Public Holiday multiplier and issues a separate digital chit for the artist to approve.

Single-date release and stand-down pay

Release an artist from one cancelled shoot day without unbooking the rest of their continuity block, with optional Late Cancellation pay generated for that date alone.

Free demo account
