Frequently Asked Questions

Everything you need to know about casting and booking with RosterDeck.

RosterDeck is a modern, all-in-one cast management and booking platform engineered specifically for UK talent and casting agencies. It consolidates casting workflows, automated availability checks, secure production approvals, interactive booking confirmations, call sheets, and digital timesheets into a single workspace. By replacing fragmented spreadsheets and endless email chains, RosterDeck helps agencies scale operations, reduce administrative overhead, and secure bookings faster.

RosterDeck is built for agencies looking for a comprehensive casting and booking platform while retaining control over their independent payroll processes. It serves two primary workflows:

Talent Agents

Run your whole agency from one place. Build shortlists in seconds, send bulk availability checks and booking requests, get shortlists signed off by production, then issue call sheets and collect digital timesheets, without the spreadsheet juggling. The result is less admin, faster bookings, and a clear view of every job from first offer to final wrap.

Actors, Models & Supporting Artists

Keep one profile that works everywhere. You maintain your own headshots, showreels, measurements and contact details, and they stay current for every agent who represents you, with no forms to re-fill. Respond to availability requests in a single tap, and opt in to discoverability so new agencies can find you and invite you to their roster.

Every job in RosterDeck moves through a clear, visual workflow: from adding cast and checking availability, to requesting production approval, booking, setting call times, and sending the call sheet. The workflow stepper shows at a glance exactly which stage each job has reached, what's already complete, and what still needs your attention, with live counts at every step (for example, '13/15 responded' or '12 approved'). Even when you're juggling dozens of jobs at once, nothing slips through the cracks: you can always see the next action for each booking and pick up exactly where you left off, tracking every job in real time from first offer to final wrap.

Yes! We offer a fully functional free demo account so you can experience RosterDeck's features firsthand. In your demo environment, you can run mock availability checks, simulate production approvals, create test bookings, and generate digital timesheets. It's the best way to explore how our workflow automation fits your agency's daily operations before making any commitments.

Production Approval allows you to share digital shortlists of available talent directly with producers, directors, or casting directors via a secure, interactive link. Clients can review profiles, view showreels/headshots, and approve or decline options with one click. Productions can also export the cast data to PDF and Excel for their own records, feedback is collated instantly in your portal, and the casting process is accelerated while maintaining client confidentiality.

The RosterDeck Assistant is a secure, built-in AI casting co-pilot designed to handle repetitive administrative tasks. Using natural language, you can instruct the assistant to search your database for talent matching specific physical or skills criteria, bulk-add them to a job, draft availability campaigns, and summarize responses. It acts as an extra set of hands to speed up casting workflows.

Digifits allow cast members to upload full-length wardrobe and fitting photos directly from their phones for specific shoot dates. RosterDeck automatically organises these images into fitting galleries and exports multi-artist contact sheets or single-artist PDF packs for costume supervisors and wardrobe departments. Production reviews them, picks options, and the agreed supplement lands on the timesheet automatically.

Absolutely. We offer white-label capabilities and custom branding options. You can upload your agency's logo, set custom brand colours, and host the platform on your own custom domain (e.g., portal.youragency.com). All emails, SMS messages, and client-facing shortlists will feature your brand, ensuring a cohesive and professional experience for your clients and artists.

At the end of a shoot, digital timesheets are completed and signed off paperlessly on-set. The hours, overtime, and expenses sync back to your agency portal and the artist's dashboard automatically. To support agencies managing their own payroll, RosterDeck generates clean data exports compatible with Excel, Google Sheets, Xero, QuickBooks, and other major accounting platforms, making independent payroll run smoothly.

A chit is one artist's pay record for one work date, and in RosterDeck it is built automatically from the times signed on set. Production signs each cast member in on arrival and out at wrap on the digital timesheet, and RosterDeck works out the basic for that kind of day, the worked hours, and any overtime beyond the date's rule (Standard Working Day 9 hours, Continuous Working Day 7 hours, a flat 10 hours, or none). Supplements are added on top: travel allowances and early-call payments, per diems and meal penalties, night and public-holiday enhancements, digi-fit fees, and the union supplementary fee categories (PACT/FAA Categories A–E, PACT/Equity SP1–SP3). Turnaround is calculated for you: RosterDeck compares each artist's wrap time on one date with their call time on the next date of the same production, flags any break shorter than the PACT/FAA minimum of 11 hours, and charges the shortfall at the card's turnaround fee per hour or part thereof, so a broken turnaround is never missed on a busy sheet. Holiday pay is then accrued on top at the card's percentage (12.07% by default), with expense-type supplements such as travel and per diems correctly excluded from the holiday base. Every figure is calculated from the times and the rate card, so there is no manual arithmetic on set and no spreadsheet reconciliation afterwards.

Yes. When the timesheet for a work date is submitted at the end of the day, RosterDeck emails every booked cast member their own individual chit for that date: the sign-in and sign-out times recorded on set, worked hours, basic, overtime, each supplement itemised, holiday pay and the gross total. The chit arrives branded with your agency's logo and colours, and it is also available as a PDF and on the artist's own dashboard. Each artist can approve their chit or raise a query in one tap; queries come straight back to the agency and to production so a disputed hour is settled while the day is still fresh, rather than weeks later at payroll. Anything not answered inside the 48-hour approval window auto-approves so a single unresponsive artist never holds up the job. The result is a paperless, auditable replacement for paper chits: cast see exactly what they are being paid for the day they worked, and agents get a clean, agreed record to run payroll from.

Yes. RosterDeck rate cards let you attach a full pay structure to a job, and one card covers every kind of work date on it. Built-in presets for the UK supporting-artist agreements, PACT/FAA (Bectu), PACT/Equity and the BBC/Equity walk-on and supporting artist card for continuing drama, prefill the current published figures in one click: the basic day rate, the night rate and its own separate overtime rate, the four-hour Shift Call rate, the costume fitting rate, overtime rates and rounding, public-holiday multipliers, late-cancellation tiers, and the agreement's full supplementary fee list (FAA Categories A–E, Equity SP1–SP3, or the BBC's supplementary payments and its additional-episode payment for a day that goes into more than one episode, plus travel allowances, early calls, meal penalties, turnaround, per diems and digi-fit fees). Every value on a preset is editable, so you can adjust for the current year's uplift or negotiate a bespoke deal, and you can build a card entirely from scratch for non-union commercial and corporate work at whatever rates your agency has agreed. You set your own commission percentage and holiday-pay rate on the card, and can override the rate for a single artist on a single booking where a role has been negotiated separately. Which basic applies is decided by each work date's Type (Day, Night, Shift or Fitting), so one card handles a job that mixes day shoots, night shoots, shift calls and fittings without duplicating anything. Jobs with no rate card attached simply run time-only, recording hours without any pay figures.

Networking Mode is an optional feature that allows your agency to discover and connect with talent who have opted in to be discoverable across the RosterDeck ecosystem. If you need to fill last-minute roles or expand your roster in a new region, you can search the shared network and invite talent to join your agency roster with one click. You stay in full control of who joins your roster: it's up to you to review and vet the talent you invite. Because artists maintain their own single profile, their contact information, measurements, and photos are always up-to-date, removing the admin burden of profile creation.

RosterDeck E-Sign is a built-in document signing tool that lets agencies upload contract PDFs, place signature and date fields using a visual drag-and-drop editor, and dispatch signing requests to cast members via batch email. Signed documents include a verified audit trail and Excel event log (sent, viewed, signed, and voided timestamps) and can be shared directly with production clients via expiring secure links.

In 2026 the best talent booking platform for a UK agency is the one that covers the whole job in a single system rather than solving one step and leaving the rest in spreadsheets and email. Judge any platform against six things. One: end-to-end coverage, casting and shortlisting, bulk availability checks, production approval, booking confirmations, call sheets, digital timesheets and payroll-ready exports in one place. Two: artists who maintain their own profiles, so headshots, measurements and contact details are current without your team re-keying them. Three: rate handling that matches how UK supporting artist work is actually paid, using PACT/FAA, PACT/Equity and BBC/Equity rate cards, with overtime, night calls, turnaround, meal penalties, supplements and holiday pay calculated automatically rather than by hand. Four: a real AI assistant that removes admin instead of adding a chat box. Five: pricing that flexes with your workload, so a quiet month costs less than a busy one. Six: your branding on everything artists and clients see. RosterDeck was built to meet all six for UK talent, casting and supporting artist agencies, and there is a free demo so you can test it against your own workflow before committing.
