Agency analytics

Agency analytics for talent and supporting artist agencies

Most agencies can tell you how busy the office feels, but not how fast cast reply, where shortlists drop off, which dependable regulars honour every call sheet or who on the roster has gone six months without a booking. RosterDeck works out all eight sections from the jobs, emails and timesheets you already run.

Bookings & demand

See a quiet week coming before it gets here

Analytics counts the artist-days your team has already booked over the next four weeks, so a gap shows up while there is still time to fill it.

  • Artist-days ahead

How much of the next four weeks is already covered.

  • Quiet weeks spotted early

A thin week stands out against the weeks around it.

  • Who drives the volume

Top productions shows which clients your bookings come from.

Pairs naturally with Cast dependability and Your roster to balance work across your books.

  5. 5Fair reliability tiers

    Cast dependability

Every joined artist sits in one of four clickable tiers: Reliable (100%), Mostly reliable (80% to 99%), Unreliable (below 80%) or Unrated.

12-month decay half-life · Production releases excluded from scoring

When production releases an artist (Cast Release), that booking is excluded from the denominator so cast are never penalised for production changes.

  6. 6Active vs quiet cast

    Your roster

Joined roster count, how many cast have been booked in the last 90 days, and how many have gone 180 days without a booking.

Joined roster · Active (booked in 90d) · Quiet (180d+) · Roster growth chart

Expand the quiet-cast list and click any artist to open their profile, making it easy to put overlooked cast forward for upcoming briefs.

  7. 7Per-booker output

    Team

A clear table of every active agent and booker, showing confirmed bookings on the jobs they own and outreach emails they have sent.

Bookings by job owner · Outreach emails by sender across the period

Compare workload across bookers at a glance without asking everyone to keep a separate tally.

  8. 8Timesheets & usage

    Time & credits

Total hours worked and overtime entries from submitted digital timesheets, alongside net booking credit usage across the period.

Total hours worked · Overtime entry share · Net booking credits used

Refunded booking credits are netted off automatically so the usage chart reflects completed bookings.

For agencies and cast

Clear answers for bookers, fair records for artists

True conversion and reply times

RosterDeck timestamps every cast status change. Instead of guessing how fast cast reply, you see the true median minutes from availability check to response, and from shortlist to confirmed booking.

Fair recognition for dependable cast

Artists who honour every call sheet stand out in the 100% Reliable tier. When a production scales back numbers and releases someone, that release never counts against the artist’s record.

Keep your whole roster working

See the share of your joined roster booked in the last 90 days alongside cast who have not had a booking in six months, with one click through to each artist’s profile.

Four windows, compared automatically

Switch between 30 days, 90 days, 6 months and 12 months in one click. Headline cards compare the period against the previous window of the same length so you can see whether momentum is rising.

Fix bounced emails before the next brief

When outreach emails bounce or fail, the Bounced / failed card expands to show the exact recipients, reasons and dates so your team can tidy contact details straight away.

Export to CSV, Excel or PDF in one click

Download the full report for your selected period as a CSV spreadsheet, a multi-table Excel workbook or a formatted PDF summary for partner meetings.

Grounded in your data

No manual tallies or separate spreadsheets

Because availability checks, booking confirmations, call sheets and digital timesheets all happen inside RosterDeck, your analytics page never relies on someone remembering to log a booking in a spreadsheet.

Ask the AI assistant

Ask the assistant for your booking conversion, response rate or cast dependability breakdown. It reads the same analytics calculations and answers in plain English.

  • Timestamped status history

Every move from shortlisted to contacted, available, booked and call sheet sent is recorded in job_sa_status_history, powering accurate median turnaround figures.

  • 12-month decay weighting

Cast dependability weights recent bookings more heavily than older ones using a 12-month half-life, so a single old cancellation fades fairly over time.

  • Open to every agent on your team

Every active agent in your organisation can view the analytics page, refresh the figures and export reports for the selected date window.

  • Built into the AI assistant

Ask the RosterDeck assistant for your booking numbers, conversion rate or cast dependability tiers and it answers from the same calculations.

Connected workflow

Every shoot date feeds your numbers automatically

As your team works through each shoot date’s workflow stepper and production submits the digital timesheet at wrap, your conversion funnel, leaderboards and hours-worked totals stay ready for your next review or export.
