How a digital timesheet runs a shoot day

Bind a rate card and send one link
Attach a rate card to the job and every work date on it is priced from that card. Production gets one secure timesheet link for the date. It opens in any browser on a phone or a laptop, with no account, password or app.

Call times, sign-ins and wraps go straight onto the sheet: row by row, by role, or the whole unit at once. Hours and overtime follow each time as it is typed, and the sheet flags payments the day owes but nobody has entered.

Every artist gets their own chit
When production submits, each artist is emailed an itemised chit with a PDF and can approve it or raise a query in one tap. Anything not answered within 48 hours approves itself, so one silent artist never holds up the job.

Locked figures go to your books
Once every chit is approved the timesheet locks and the money on it is frozen. Send the date to Xero or QuickBooks as a draft invoice for production and a draft bill for every artist, then pay artists once the invoice is paid in full.

Every figure priced from your rate card
Presets for the PACT/FAA, PACT/Equity Supporting Artist and BBC/Equity Walk-On & Supporting Artist (CDS) agreements carry the 2026 published figures. Edit any value, or build your own card for commercial and non-union work.
- The basic for each kind of day: day, night, four-hour shift call or costume fitting
- Overtime past the contracted day at the card’s increments, split where hours run into the night rate
- Supplements itemised by name: travel, early calls, meal penalties, per diems, digi-fit fees and the agreement’s supplementary fee categories
- Turnaround: a break under 11 hours between wrap and the next call on the same production is flagged and charged at the card’s fee
- Late cancellations and weather calls priced from the card’s tiers, with released cast kept on the sheet as cancelled
- Holiday pay accrued on top at the card’s rate (12.07% by default), with expenses left out of the base
Any chit opens its own working: the day rate behind the basic, the hours charged and the rate applied, each supplement by name. Production and the agency read the same numbers from the same card, so a query is settled on the day rather than at payroll.
